Taxi software: the software for taxi companies
One piece of software for everything that comes up in a taxi and private-hire business: answering calls, planning rides, managing drivers, invoicing. No installation, no two-way radio, on servers in Germany.

What software for taxi and private hire has to deliver
In a taxi business, everything depends on the phone. If it rings while the driver is helping a passenger in, the ride is gone – and with it the customer, who will call someone else next time. Anyone growing their business soon notices: slips of paper, a calendar app and a two-way radio are no longer enough once more than two vehicles are on the road.
Taxi software is therefore not bookkeeping with a map, but the combination of four things that constantly interlock in everyday work: call answering, dispatch, driver app and invoicing. If these are four separate programs, every ride is typed in three times. With us it is one system.
The four building blocks
Answering calls
An artificial intelligence picks up when nobody can. It understands the pick-up location, destination, time and name in a normal conversation and creates the ride by itself.
Dispatching
All vehicles on one live map. A job goes to the drivers with the shortest detour – including occupied ones, calculated from their destination.
Managing drivers
The driver app shows the job, guides the driver through pick-up and drop-off, tracks continuously and sends the report as a PDF at the end of the shift.
Invoicing
Invoices, quotes, payment reminders and cancellations from the same rides. At 7 %, 19 % or any rate you choose, also for Austria and Switzerland.
A day with this taxi software
A call comes in. If the control centre is busy, the AI phone answering picks up, conducts the conversation and enters the ride in the calendar. If several rides were discussed in one call – there in the morning, back in the afternoon – it creates both.
The ride appears immediately on the map and on the drivers’ mobile phones. Whoever accepts first gets it; for the others the card disappears. The dispatcher sees in four columns what is open, accepted, on the road and completed, and can step in at any time. When the driver arrives, the app reports this automatically.
At the end of the shift the driver adds up cash and card payments, photographs fuel receipts and closes the shift. The shift report arrives in the control centre as a PDF and the completed jobs are ready for invoicing. What needs doing at the end of the month has thus already been done during the month.
What else is included
- Calendar with month, week, day and list. You set up recurring rides once – for example every dialysis on Monday, Wednesday and Friday – and the series is in place for twelve months.
- External calendars can be integrated as a subscription, so that appointments from another application come in by themselves.
- HR office with personnel file, working hours, holiday and sick notes – the drivers submit requests directly from their app.
- Deadlines for the driving licence, P-Schein (German passenger-transport driving permit) and vehicle documents are monitored and announce themselves in good time.
- Messages between control centre and drivers, with attachments and read receipts – the two-way radio becomes superfluous.
- E-mail mailbox right inside the system, via your own server, with several mailboxes and full-text search.
- Several dispatchers can work at the same time without taking jobs away from one another.
From the cloud instead of from a server in the office
Classic taxi software is installed on a computer in the office. If that fails, the business comes to a standstill; and anyone who wants to check something from home cannot get at it. Our software runs in the browser: on the computer in the control centre, on a tablet and on a mobile phone. It can also be added to the home screen as an app and then looks like a normal program.
For the drivers there is a dedicated app for Android and iPhone – with sign-in by PIN, so that no password has to be typed in the driver’s seat.
The servers are located in Germany, processing is designed for the GDPR (DSGVO), and a monitoring service watches over the system around the clock. Passenger data does not leave the system.
Who benefits from switching
The software is designed for taxi operators, private-hire companies, patient transport companies and taxi dispatch centres – from a single car to a control centre with several companies.
For the sole trader with one to three cars, the biggest gain is call answering: there is nobody who can sit by the phone all the time, and every missed call is a lost ride.
For the company with five to twenty vehicles it is dispatch. From this size upwards, nobody can keep in their head who is where and who will be free when.
For the control centre with several companies, what counts is that everything sits under one login and an employee can be managed in several companies without being created twice.
Anyone switching today does not have to retype their current rides: the calendar can be imported from an existing calendar, and recurring appointments are created in one go.
Frequently asked questions about taxi software
What software does a taxi company need?
One that combines the four everyday tasks: answering calls, dispatching rides, managing drivers and invoicing. If these are separate programs, every ride is typed in several times. TaxiAgentur is software for taxi companies, private-hire operators and patient transport rides (Krankenfahrten) that handles everything in one system – in the browser, without installation.
What does taxi software cost?
That depends on how many vehicles and employees you have and whether AI phone answering is included. We bill monthly, with no minimum term beyond the billing year. In the free live demo via Zoom we work through the figures for your specific case.
Do I have to install anything on my computer?
No. The software runs in the browser – on a computer, a tablet and a mobile phone. You can also add it to the home screen as an app. For the drivers there is a dedicated app for Android and iPhone.
Where is my data stored?
On servers in Germany. Processing is designed for the GDPR (DSGVO), access is encrypted without exception, and a monitoring service watches over the system around the clock.
Can I manage several companies with one login?
Yes. Anyone who runs several companies signs in once and switches between them with one click. An employee can be managed in several companies without being created twice.
Is it worthwhile for a small company too?
Especially there. Anyone on the road with two or three vehicles has nobody to sit by the phone all the time. Automatic call answering closes exactly this gap – and the calendar replaces the slip of paper on the dashboard.
Take your time to look at the software
In a free live demo via Zoom we go through your business and show you the software using your own workflows – call answering, dispatch, driver app and invoicing. Afterwards you will know whether it suits you.
