TaxiAgentur is software for taxi and private-hire companies. Private hire here means vehicles with a driver (Mietwagen mit Fahrer), not car rental. Jobs, the driver app, the calendar and invoices work for a private-hire company just as they do for a taxi company. On top of that comes the trip log (Fahrtenbuch): if a car is listed as a private-hire vehicle, the software enters every completed ride by itself.
Private-hire vehicles with a driver: the same work as in a taxi business
A private-hire company does not set off from the taxi rank but works on a pre-booked basis: the patient to dialysis, the child to school, the regular customer to an appointment. The work behind it is the same as in a taxi business – answer the call, plan the ride, send the driver, secure the document, write the invoice.
That is exactly what TaxiAgentur is built for. In the fleet list you specify for each vehicle whether it runs as a taxi or as a private-hire vehicle. If you have both, you manage both in the same account.
From the call to the driver
Bookings mostly come in by phone. In TaxiAgentur the call becomes a ride without anyone typing it out – and it then runs through all areas: phone answering, dispatch and the driver app.

Every recorded ride appears in the calendar with time, address and driver – no advance booking gets lost.

Dispatch shows all active vehicles live. The job goes to a specific driver or to all of them.

Accept, pick up, drop off: every step is a button in the app, and the control centre sees it at the same moment.
The trip log writes itself
For every car listed in the fleet as a private-hire vehicle, TaxiAgentur keeps a trip log. At the start of the shift the driver selects the car. When the driver then reports a passenger’s drop-off in the app, the ride is in the log – nobody has to enter it.
- What it contains: date, time, route, purpose of the ride, number plate and driver.
- Fare: if the driver enters an amount at drop-off, it appears in the trip log too – along with a total per driver.
- Filters: by vehicle, driver and period, plus a search.
- As PDF: one car, one driver or one period on a single sheet.
- Corrections: if a detail is wrong, you change the line in the control centre.
Please check with your licensing authority (Genehmigungsbehörde) exactly which records it requires. TaxiAgentur’s trip log documents the rides driven and can be corrected in the control centre.
Fleet and deadlines in view
The fleet list shows every vehicle with number plate, official vehicle number (Ordnungsnummer) and model. At the start of the shift the driver enters the meter reading and records any damage in the handover report – before setting off.
Then there are the deadlines: TÜV inspection, taximeter calibration and servicing for each vehicle, the company’s operating licence (Konzession), and the drivers’ driving licences and P-Schein (German passenger-transport driving permit). The control centre shows in colour what is about to expire or has already expired.
Patient transport, school rides and fixed routes
Many private-hire companies make their living from rides that recur. In TaxiAgentur you set up such a ride once as a series – it then appears in the calendar twelve months in advance.
- Patient transport rides (Krankenfahrten): the driver photographs the transport prescription form (Transportschein) at drop-off. For billing, you collect the rides in a list of their own, and the software shows what is still missing. More on this on the page Software for patient transport rides.
- School rides: the driver checks each child in with a tap as they get in – the control centre sees how many are on board.
- Corporate customers: you combine rides on account into one collective invoice per customer.
Invoicing and office in the same system
You write invoices, quotes and payment reminders in the invoicing area of the same software, as PDFs with your logo. The company mailbox is right next to it, and staff management holds each driver’s working hours from the shifts, holiday and documents.

How is the trip log created?
Automatically. If the car is listed as a private-hire vehicle in TaxiAgentur’s fleet list and the driver reports the passenger’s drop-off in the driver app, the ride appears in the trip log with date, time, route and driver. You can export it as a PDF.
Can I manage taxis and private-hire vehicles in the same account?
Yes. In TaxiAgentur’s fleet list every vehicle is given its type: taxi or private-hire vehicle. The software keeps the trip log only for the private-hire vehicles.
Is the software suitable for patient transport rides and school rides?
Yes. In TaxiAgentur you set up recurring rides as a series, twelve months in advance. You collect patient transport rides and rides on account in a list of their own for billing, and on school rides the driver counts the children in the app as they get in.
Do the vehicles need a dedicated device?
No. The drivers work with TaxiAgentur’s driver app on their phones, for iPhone and Android. The control centre runs in the browser.
What does the software cost for a private-hire company?
The same as for a taxi company. TaxiAgentur’s plans are based on the number of employees. All prices are shown openly on the prices page.
