What dispatch software does in a taxi business

Dispatch software for taxi companies takes ride orders, distributes them to the drivers and shows the status of every ride. It replaces the two-way radio, slips of paper and the phone chain “Who is free right now?”.

From around five vehicles upwards, nobody can keep in their head who is where and who will be free when. That is exactly when dispatch decides whether a passenger waits five or fifteen minutes – and whether a car drives empty right across town although another was just around the corner.

How a job reaches the driver

  1. The job is created: from a call – taken by the AI phone answering if you wish –, from a calendar appointment at the push of a button, or by hand in the form above the map.
  2. It goes to the drivers: as a push notification in the driver app and, if you set it up, additionally by WhatsApp. The drivers with the shortest detour are contacted – including occupied ones, calculated from their destination.
  3. The first one accepts: whoever accepts first gets the ride; for the others it disappears. If a driver declines, the job goes straight back to the control centre.
  4. The control centre stays in charge of the job: it can create a ride for a specific driver or withdraw it from the driver – it then stays open and goes to the next one.

In a small business the boss does the dispatching personally, often on the move. That is why the software also runs on a mobile phone and a tablet.

In a larger control centre several dispatchers work at the same time. In the dashboard you decide which employee’s phone rings, and you can change this at any time.

Anyone who runs several companies signs in once and switches between them with one click – without signing out and in again.

Frequently asked questions about taxi dispatch

Do I need a two-way radio or hardware of my own for dispatch?

No. TaxiAgentur’s dispatch runs in the browser – on a computer, a tablet and a mobile phone. The drivers use the driver app on their smartphone. Jobs and messages go through the app instead of by radio.

Does the control centre see where the vehicles currently are?

Yes. The driver app tracks the vehicle continuously by GPS during the shift. The live map shows all active vehicles in real time, with name and last report.

Can several dispatchers work at the same time?

Yes. Several workstations see the same picture, and new items light up for everyone. That way nobody takes a job away from anyone else.

What happens if a driver declines a job?

The job goes straight back to the control centre and stays open. If a driver cancels with a reason, his text appears in the control centre at that very moment. The control centre can also withdraw a job itself – it then goes to the next driver.

Does dispatch also work for advance bookings?

Yes. Advance bookings appear as appointments in the calendar. One button turns the appointment into a job – optionally for a specific driver. The drivers see their advance bookings in the app.

How long do completed rides remain visible?

Completed rides remain available to view in dispatch for 30 days – with map, route and the points where the driver pressed pick-up and drop-off.
